Role: Sr. Procurement executive
Location: Remote (USA Shift)
We are seeking a proactive Procurement & Logistics Coordinator for managing day-to-day procurement operations, including requisition review, purchase order processing, supplier coordination, and delivery tracking across multiple concurrent projects.
Major Role:
  • Procurement: Coordinate IT hardware, IoT components, and support services for marketing and exhibition contracts. Onboard vendors installing IoT devices at client sites. Manage P2P cycle.
  • Logistics: Manage domestic (within USA) and international logistics (USA to other countries) for IoT devices.
Core Responsibilities
Strategic Sourcing & Procurement:
  • IT & Networking: Manage the procurement of CCTV systems, routers, switches, IT accessories, and components for IoT devices. Evaluate suppliers based on quality, cost, and technology compliance.
  • Marketing & Events: Source all materials and services for marketing campaigns and exhibitions, including booth displays, promotional items, and graphic design services. Negotiate contracts with venues and vendors.
  • Vendor Identification: Identify, evaluate, and qualify new suppliers in the US and globally. Conduct market research to stay informed on industry trends, lead times, and potential supply chain disruptions.
Contract Management:
  • Review and negotiate contracts, Statements of Work (SOWs), and terms with suppliers.
  • Manage supplier relationships and ensure compliance with contractual agreements regarding quality, delivery, and service levels (SLAs).
  • Mitigate supply chain risks by proactively monitoring supplier performance and market trends.
  • Assist with supplier onboarding and compliance documentation.
Procurement Operations:
  • Process purchase orders and ensure timely delivery of materials and components.
  • Collaborate with inventory and forecasting teams to maintain optimal stock levels and avoid shortages.
  • Implement procurement systems and tools to streamline processes and enhance efficiency.
Logistics & Shipping Coordination:
  • Domestic (USA): Coordinate inbound and outbound shipments to customers, exhibition sites, and installation locations. Select the best carriers to balance cost and speed.
  • International: Manage all aspects of international shipping, including customs clearance, documentation (Commercial Invoices, Packing Lists, Bills of Lading), and classification of goods.
Installation & Field Service Liaison:
  • Act as the primary point of contact between the company and third-party installation vendors.
  • Schedule and coordinate vendor visits to client sites for IoT device installation.
  • Ensure vendors have the correct equipment, parts, and site access instructions.
  • Track installation completion and process vendor invoices upon successful delivery.
Cross-functional Collaboration:
  • Work closely with Engineering and Product teams to understand technical requirements for IoT components.
  • Partner with the Marketing team to plan exhibition logistics and timelines.
  • Collaborate with Quality Assurance to ensure materials and components meet required standards.
Cost Control:
  • Analyze spending data and identify opportunities for cost savings across IT, Marketing, and Logistics budgets.
  • Develop and implement cost reduction strategies without compromising quality or service.
Key Skills & Qualifications
  • Education: Diploma or Bachelor's degree in Supply Chain Management, Business Administration, Electrical/Mechanical Engineering, or a related field.
  • Experience: 4+ years of proven experience in procurement, purchasing, or supply chain coordination, preferably with exposure to IT goods (CCTV, routers), electronic components, or marketing services.
  • Logistics Expertise: Experience in managing domestic and international freight, including knowledge of customs regulations and freight documentation.
  • Negotiation: Strong negotiation and contract management skills, with a track record of achieving cost savings.
  • Software Proficiency: Experience with ERP systems, procurement software, and Microsoft Office Suite (Excel - Pivot Tables, VLOOKUPs).
  • Soft Skills: Excellent analytical, problem-solving, and organizational abilities. Strong communication skills for liaising with internal teams and external partners.
